Compensation: $20.00 - $22.00 per hour

Position Summary

The Production Administration Assistant plays a vital role in supporting the Production Manager and Assistant Production Manager within the Production Department. This role ensures project timelines, accuracy, and adherence to company standards for delivering outstanding customer experiences. The Production Administration Assistant facilitates activities across multiple internal departments, coordinating schedules, trades, permits, and overall customer satisfaction.

 

Key Responsibilities

Permitting, Inspections, and Trade Coordination

  • Coordinate all required inspections to ensure job completion.
  • Schedule trades and coordinate with customers for installation and site visits.
  • Arrange MISS DIG requests for digging jobs.
  • Participate in weekly meetings and provide updates to department leaders.
  • Document and update departmental policies and procedures to optimize workflow.
  • Ensure all customer service interactions create “raving fans” per company core values.

Production Installation and Communication

  • Confirm job details prior to installation dates.
  • Conduct follow-up and quality assurance calls post-production.
  • Handle permit pick-up and drop-off.
  • Coordinate warranty calls with homeowners, service technicians, and the production team.

Service Appointment Scheduling

  • Schedule annual maintenance and service appointments to maximize efficiency.
  • Meet or exceed service goals while maintaining full calendars for technicians.
  • Take ownership of escalated customer issues and ensure timely resolution.

Administrative Support

  • Accurately complete paperwork, data entry, and correspondence according to company procedures.
  • Provide administrative assistance to other departments as needed.

 

Qualifications

  • Knowledge of customer service principles and practices.
  • Proficiency in using personal computers and related software programs.
  • Strong attention to detail and accurate data entry skills.
  • High school diploma or GED preferred; 1+ years of customer service experience or a combination of education and proven experience.
  • Ability to sit for extended periods and exert minimal physical effort (up to 10 lbs.).
  • Valid driver’s license with a clean driving record.
