Billing & Accounting Project Specialist

Work Hours: Hybrid, 4 days in-office and 1 day remote. Standard office hours with reasonable flexibility on start and end time. Full time, W-2 position
Location: Bridgewater, NJ

Compensation: $60,000-70,000 salary based on experience with bonus potential.

Billing & Project Accounting Specialist Job Summary:

The Billing & Project Accounting Specialist is a key role within the finance and accounting organization, responsible for managing the billing process for various environmental drilling and remediation projects. This position requires strong experience in project billing and accounting, excellent organizational skills, and the ability to work collaboratively with project managers and other team members. The ideal candidate will also possess Salesforce expertise to enhance financial reporting and operational efficiency.

 

Billing & Project Accounting Specialist Responsibilities:

Billing & Invoicing:

  • Prepare and issue invoices for environmental drilling and remediation projects in accordance with contract terms and company policies.
  • Reconcile accounts and resolve any discrepancies in billing or payments.
  • Review and post invoice batches for peers.

 

Cost Monitoring & Tracking:

  • Monitor and track project costs, ensuring all billable expenses are accurately recorded.
  • Collaborate with project managers to review project budgets and ensure billing aligns with project progress.
  • Perform job costing analysis.
  • Update open orders daily.

 

Operational Support:

  • Track and report on the utilization of field staff.
  • Track and report on the utilization of rigs.

 

Financial Reporting & Analysis:

  • Assist in the preparation of financial reports related to project billing, revenue, and other key metrics.
  • Prepare reports analyzing sales by customer, territory, and technology, as well as rig expenses and utilization.
  • Upload key financial data to dashboards, including days to invoice.
  • Ensure compliance with all relevant accounting standards.
  • Participate in month-end and year-end closing processes as needed.

 

Client Interaction:

  • Respond to client inquiries regarding invoices and billing issues in a timely and professional manner.

 

Billing & Project Accounting Specialist Requirements:

  • Minimum of 1+ years of experience in project billing or accounting, preferably in a field service, engineering, or construction environment.
  • Minimum of 1+ years of experience in job costing and project-based financial analysis.
  • Proficiency in accounting software and Microsoft Office Suite.
  • Strong attention to detail and accuracy in financial record-keeping.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to handle multiple tasks simultaneously.

 

Preferred Skills:

  • Experience with Salesforce is preferred.
  • Bachelor’s degree in Accounting, Finance, or a related field is preferred.
  • Familiarity with field service operations and resource utilization tracking.
  • Moderate proficiency in Microsoft Excel and other financial reporting tools.
